Privacy Policy

Purpose of the policy

At Précinov Inc. we are committed to protecting the privacy of our employees and customers, as well as to ensuring the protection and confidentiality of the personal information entrusted to us in the course of our activities.

Our Personal Information Protection Policy not only meets the requirements of the Act respecting the protection of personal information in the private sector, but also describes our standards for collection, processing, use, communication, retention and destruction at with regard to your personal information. This policy also explains how we protect your personal information and the procedure to follow to exercise your rights of access and rectification.

This document is updated regularly to ensure that you are aware of changes to our privacy practices, as well as to comply with applicable laws. We invite you to regularly consult this policy to stay informed of how we process your personal information.

By providing us with personal information (via our website, by email, in person or by telephone), you agree that it will be processed in accordance with what is indicated in this policy, and authorizing Précinov Inc. and its suppliers to process your personal information for the purposes set out below.

Extent

Précinov Inc. affirms its commitment to comply with the laws and regulations governing the protection of privacy and to protect all confidential information it holds. All employees of Précinov Inc. who collect, use or communicate personal information are required to respect this policy.

Précinov Inc.'s responsibility for the protection of personal information also extends to its suppliers and partners with whom Précinov Inc. may share certain personal information in the course of its activities.

The latter must offer the same high level of protection of the personal information communicated. Précinov Inc. limits the personal information it provides to these third parties to only the information that is reasonably necessary to enable them to carry out their functions. Précinov Inc. ensures that they take reasonable measures that comply with the law to ensure the confidentiality of this information.

Personal information

Personal information is that which concerns a natural person and allows them to be identified directly or indirectly. This information is confidential, that is to say, it cannot be communicated to third parties without the consent of the person concerned except in exceptions expressly provided for by law.

Personal information must be protected, whether its conservation is ensured by the company or by a third party, regardless of the nature of its medium, and whatever its form: written, graphic, audio, visual, computerized or other.

Purposes of personal information collected

Précinov Inc. must collect personal information about you in order to provide you with high quality services, confirm your identity, satisfy legal requirements, prevent fraud or resolve questions concerning the relationship between us.

Here are some examples of personal information that we may collect in the course of our activities:

  • Name, address, email and telephone number;
  • Age, sex;
  • Identification numbers such as your social insurance number;
  • Financial information, such as your bank account number, your income.

The purposes for which we collect your personal information are determined before or at the time of collection.

Means used to collect your personal information

We collect your personal information in several ways:

  • By an authorized person who collects them for Précinov Inc. (in an employment process, for example);
  • Directly during the process of submitting, selling and manufacturing machined parts;
  • Via our forms on our website.

Consent

When we collect personal information about you in accordance with this policy, we obtain your explicit, free and informed consent to use it for the purposes for which it was collected.

Précinov Inc. must obtain your consent to use your information for other purposes, to communicate it to third parties other than the exceptions provided for by law or to collect additional information about you.

This consent may be obtained in writing, verbally, electronically or through an authorized representative. If you do not consent to the collection, use and sharing of your personal information, we may not be able to provide you with the products requested or the management of your file may be compromised.

You may withdraw your consent to the communication and/or use of your personal information at any time, subject to legal or contractual restrictions. We will inform you of the consequences of such withdrawal of consent, including the possibility that we may not be able to provide a product or adequately manage your file.

Limitation of collection, use and disclosure

We limit the collection of your personal information to what is necessary for the purposes explained to you. We collect personal information directly from you, unless you have consented to our collecting this information from third parties or are otherwise permitted by law.

We use your personal information only for the purposes for which it was collected. This means that we cannot use your personal information for any other purpose without your consent, except as required by law.

When necessary, exclusively with your consent or if permitted by law, we may communicate your personal information to certain authorized stakeholders for the proper management of your file or to comply with regulatory and/or legal requirements, including:

  • Any person or organization to whom you give your consent;
  • Suppliers who need it to carry out their mandate;
  • Legal or judicial authorities, when required by law (for example, in cases of fraud or criminal activities).

Despite the above, your personal information is only accessible to persons authorized to access it and for whom it is necessary in the exercise of their functions.

You have the right to know the names of third parties to whom your information has been communicated. Only exceptionally and in accordance with the law will we refuse to disclose this information.

We may, in certain circumstances, use service providers outside of Quebec or Canada. We have the responsibility to ensure that the personal information transmitted would then benefit from adequate protection, in particular with regard to the generally recognized principles of protection of personal information.

Conservation

We retain your personal information for as long as necessary for the purposes for which it was collected and for any permitted secondary uses.

Once the purposes are accomplished, we will therefore stop using your personal information and we will destroy it. When personal information has been used to make a decision concerning you, it will be kept for a period of 7 years from the date of the end of the contract.

We may de-identify personal information for secondary uses permitted by law. This process involves removing the link between the information and your identity in order to protect it once the purposes for which the information was retained are achieved.

Accuracy and accountability

We make every effort to ensure that your personal information is up to date and accurate at the time it is collected, used or disclosed.

We rely on individuals to obtain accurate information from them and to inform us when updates to this personal information are required.

We adhere to the principles set out by law and the rules we have put in place to protect your privacy. These rules are set out in this policy. Our employees are informed and adequately trained on our policies and practices regarding the protection of personal information.

Security measures

We recognize that information security is an integral part of the privacy of personal information.

We have implemented and continue to develop rigorous security measures to ensure that your personal information remains strictly confidential and is protected against loss or theft and against unauthorized consultation, communication, copying, use or modification.

These security measures include:

  • Organizational measures (e.g.: restricted access to what is necessary, external use of a team of computer technicians, policies, directives and training focused on compliance);
  • Physical measures (e.g.: backup and archiving of data using an external system, binders blocked by a code with restricted access, etc.);
  • Technological measures (e.g.: use of passwords, frequent password changes, use of firewalls, etc.).

All employees of Précinov inc. and third party service providers whom we may retain and who process personal information on our behalf are also required by law to respect the confidentiality of personal information.

Your rights regarding your personal information

In accordance with applicable laws regarding the protection of personal information, an individual has the following rights:

  • Right of access: the right to have confirmation of the existence of processing of personal information concerning them and the right to obtain communication of this personal information;
  • Right of rectification: the right to request rectification of any incomplete, inaccurate or ambiguous personal information that we hold;
  • Right to withdraw consent: the right to withdraw consent to the communication or use of personal information collected;
  • Right to information: the right to be informed of a decision based exclusively on automated processing that uses personal information;
  • Right to information: the right to be informed in advance of the use of a technology allowing the identification of the person, of locating them or of carrying out profiling of the person and of the means offered to activate the functions allowing them to be identify it, locate it or carry out profiling;
  • Right to portability: the right to access computerized personal information in a structured and commonly used technological format. *NB This right will not come into force until September 2024.

A request for access or rectification is addressed to the personal information protection manager of Précinov Inc. whose contact details are indicated below.

The person responsible for the protection of personal information will respond in writing to the request for access or rectification promptly and no later than thirty (30) days from the date of receipt of the request.

Any refusal by Précinov Inc. to comply with a request will be justified in writing and will indicate the provision of the law on which our refusal is based as well as the remedies available to contest and the time limit within which they must be exercised. Précinov Inc. also undertakes to provide you with assistance to help you understand the refusal.

Limit of liability

Rest assured that Précinov Inc. implements all reasonable means at its disposal to protect your data.
Consequently, you acknowledge that Précinov Inc. and its suppliers cannot be held responsible for any damage or harm that may arise or result, directly or indirectly, from a violation of the confidentiality of data and/or information transmitted to Précinov Inc.
